Display Proposal Process

Any and all proposals for the creation of long-term or permanent displays in public spaces require consultation, review, and final written approval by the CEC before moving forward with the project. Any UMW faculty, staff, and student may submit a Full Display Proposal Form if the planned display is in final stages and display components such as images, text, funding, and departmental/leadership permissions have been or completed. If your project incorporates a design component, this would also require approval from the University Communications Design Services division.

Due to the nature of a project requiring funding or budget approvals, if a student is a part of or leading the project, they may submit a Full Display Proposal Form if they have received written documentation, funding, and support from a department, academic advisor, or administrative office.

Once you complete this form, the CEC will contact you via email communication within 10 business days of receipt. The proposal will be reviewed for completeness and to determine if the display’s proposed content or location requires approvals from other UMW offices, departments, or administrators. Incomplete proposals or those requiring such approval will be returned to the proposer with encouragement to address these issues and resubmit.

Full Display Proposal Form

  • Provide a brief description of the proposed display including the topic, people who will be represented, the placement/location, the display medium, why this topic/people should be represented by a public, long-term or permanent display.
  • Contact Information

  • Please list any additional people or departments involved in the creation of this display proposal.
  • Display Details/Information

    Please provide the following information with as much detail as possible regarding your proposed display.
  • Ex: framed artwork, posters, hanging, other media, etc.
  • The display’s proposed location including the campus, building, or exterior location on campus. Provide the floor or room number if relevant.
  • Provide the approximate dimensions of the display. Be specific.
  • Will the display be permanent (existing longer than 5 years) or long term (existing more than 1 year but less than 5 years)?
  • Upload pictures or images of the artwork to be displayed.

    • Estimated total cost of the display (labor, parts, materials, etc.)
    • You should have identified your funding source for this project. What is your source(s) of funds to be used for this display?
    • Include dates and timeline of when the artwork will be displayed and for how long.
    • Please list any sources of imagery/artifacts, narrative, research material, etc. for the display.
    • Please provide documentation and evidence that individuals represented in the display have given their express permission to be included. Append this evidence in the attachments section of this form.
    • Please provide documentation and evidence that departments, offices, or individuals with reasonable interest in the display’s proposed location or content have been invited to participate in the project and have approved of the display’s location and content. Append this evidence in the attachments section of this form.
    • Use this section to attach any evidence/documentation that you received permission from the individuals to be depicted in the display, if applicable, and evidence of approval from other University and community stakeholders of the location and content of the proposed display.
