Proposals for Displays
The Campus Environment Committee encourages the proposal and creation of new long-term¹ and permanent² displays in public spaces³ on UMW’s campuses that:
- represent people, events, and themes relevant to UMW’s present, future, and/or past,
- contribute to an environment that encourages diversity, equity, and inclusion,
- and that are consistent with the University’s ASPIRE statement of values.
The University of Mary Washington is a public liberal arts institution. As such, artwork or displays in public spaces that are considered to be long-term or permanent in nature must be reviewed to encourage adherence to the University’s core community values. To this end, the University’s Campus Environment Committee, hereafter referred to as the CEC, is tasked with receiving, reviewing, and approving any long-term or permanent displays in public spaces across UMW’s three campuses (Fredericksburg – main, Stafford, and Dahlgren).
¹Long-term displays include any works of art intended to be in place for more than one (1) but less than five (5) academic years. ²Permanent displays include any works of art intended to be in place for five (5) or more academic years. ³Public spaces include all exterior spaces on UMW’s three campuses and hallways, lobbies, and other interior spaces consistently open to members of UMW’s communities. The CEC is not responsible for reviewing and approving department-specific display areas including within offices, office suites, and other special purpose rooms. Nevertheless, the CEC is willing to consult with departments, centers, and other organizations on campus to help them create displays that are consistent with UMW’s ASPIRE values and encourage diversity, equity, and inclusion.
Display Proposal Process
Any and all proposals for the creation of long-term or permanent displays in public spaces require consultation, review, and final written approval by the CEC before moving forward with the project. The procedure for review includes the following steps:
- Consultation with and review from the CEC begins with the submission of a proposal using either the Display Concept Proposal Form or the Full Display Proposal Form.
- Proposers should complete the Display Concept Proposal Form if the planned display is in early concept stages of planning and components such as images or test have not been drafted.
- Proposers should complete the Full Display Proposal Form if display components such as images, text, funding, and departmental/leadership permissions have been or completed. If your project incorporates a design component, this would also require approval from the University Communications Design Services division.
- Proposers should use the Full Display Proposal Form if display components such as images, text, funding, and permissions have been drafted or completed.
- An initial review of the proposal will be completed by CEC members within 10 business days of receipt. The proposal will be reviewed for completeness and to determine if the display’s proposed content or location requires approvals from other UMW offices, departments, or administrators. Incomplete proposals or those requiring such approval will be returned to the proposer with encouragement to address these issues and resubmit.
- The CEC meets on a monthly basis, therefore, proposers can expect a full review to be completed within approximately one month of receipt. If a quicker response time is required, the proposer must provide compelling evidence and request an expedited review. In addition to approving or not approving the proposal, the CEC can provide:
- recommendations for improving the display;
- contacts for members of the UMW community who can provide expertise needed to improve the display; and
- when possible, help with identifying funding sources.
- When the CEC approves a Display Concept Proposal, it expects the proposer to complete a Fill Display Proposal Form when draft images, text, and other finer details about the planned display are available.
- Prior to the display’s installation, the Full Display Proposal including sample images, text, and other components will be made available for public comment.
- Proposers of new displays should continue to consult with the CEC throughout the project’s planning and execution.
Who can submit a form to the CEC?
- Display Concept Proposal Form: Any UMW faculty, staff, and student may submit a Display Concept Proposal Form.
- Full Display Proposal Form: Any UMW faculty or staff may submit a Full Display Proposal Form. Due to the nature of a project requiring funding or budget approvals, if a student is a part of or leading the project, they may submit a Full Display Proposal Form if they have received written documentation, funding, and support from a department, academic advisor, or administrative office.
