If you need to request access to the UFC site, please complete the <a href=\"https:\/\/in.umw.edu\/university-communications\/digital-communications\/managing-your-site\/website-access-request\/\">Website Access Request<\/a> form.<\/strong><\/p><ul class=\"wp-block-list\">\n<li>Complete all form fields:\n<ul class=\"wp-block-list\">\n<li>Name<\/li>\n\n\n\n<li>UMW Email<\/li>\n\n\n\n<li>Committee<\/li>\n\n\n\n<li>Meeting Date<\/li>\n\n\n\n<li><strong>Action Items<\/strong> &ndash; action items are meant to be things that the UFC needs to discuss. If you have additional notes or rationale for your action item(s), add &ldquo;(see minutes)&rdquo; or &ldquo;(see rationale)&rdquo; at the end of your action item(s) and add the additional information to the Meeting Minutes field.<\/li>\n\n\n\n<li><strong>Meeting Minutes<\/strong> &ndash; all meeting minutes are added to this field and may be copied in from another document format. If copying in text, please remember to &ldquo;paste as plain text&rdquo; in order to remove extraneous formatting that can cause errors on the website. The text field should allow you to bold, italicize, create lists and headings, all to allow for well-formatted minutes.<\/li>\n<\/ul>\n<\/li>\n\n\n\n<li>Review all form fields to check for accuracy and completion<\/li>\n\n\n\n<li>Click the &ldquo;Submit&rdquo; button at the bottom of the page<\/li>\n<\/ul><p class=\"wp-block-paragraph\">Once you have submitted your form, the confirmation page will load with a reminder to review and publish your minutes in the WordPress dashboard. As a reminder, form submissions can take about 5-10 minutes to start appearing in the Post list, so don&rsquo;t check it immediately: grab a cup of coffee, take a stretch break, then come back to finish the process.<\/p><h2 id=\"h-reviewing-and-publishing-minutes\" class=\"wp-block-heading\">Reviewing and Publishing Minutes<\/h2><p class=\"wp-block-paragraph\">When you are ready to publish your meeting minutes, you need to open the WordPress dashboard and select &ldquo;Posts&rdquo; in the left-hand sidebar menu. This will open the post list that will include <em>all submitted meeting minutes for every committee<\/em>. In order to find your committee&rsquo;s minutes, look for the following:<\/p><ul class=\"wp-block-list\">\n<li>Your committee&rsquo;s name in the post title and\/or category field<\/li>\n\n\n\n<li>Your name or username in the author field<\/li>\n\n\n\n<li>Your committee&rsquo;s meeting date in the post title<\/li>\n<\/ul><p class=\"wp-block-paragraph\">You can narrow down your search by filtering the post list to only show &ldquo;Draft&rdquo; posts as all meeting minutes are drafted when submitted by default. When you have found your minutes, click on the post title or on the word &ldquo;Edit&rdquo; underneath the title to open up the editing window. From here, there are three things you need to manually do before publishing your post.<\/p><h3 id=\"h-step-1-convert-to-blocks\" class=\"wp-block-heading\">Step 1: Convert to Blocks<\/h3><p class=\"wp-block-paragraph\">In order to have the posts show up correctly for users, you need to convert the content to the block format. To do this, move your cursor around the content field until it becomes a hand (this should happen as long as you are hovering on anything in the body of your minutes content). Left click tor select the area and a small pop-up menu will appear with a button that says &ldquo;Convert to Blocks&rdquo;. Select that to properly format your minutes.<\/p><h3 id=\"h-step-2-review-and-edit\" class=\"wp-block-heading\">Step 2: Review and Edit<\/h3><p class=\"wp-block-paragraph\">Now that your content is properly formatted, go through and review your content to ensure accuracy. There will also be some extra blank lines that appear after converting to blocks (this is unavoidable), so those can be safely removed to clean up the layout.<\/p><h3 id=\"h-step-3-adding-the-hero-block\" class=\"wp-block-heading\">Step 3: Adding the Hero Block<\/h3><p class=\"wp-block-paragraph\">All pages and posts in the new format require the use of what we call the &ldquo;Hero Block&rdquo;. For your meeting minutes posts, you will open the Block Inserter in the upper left-hand corner of the editing interface (a small, blue, square button with a white plus sign inside it) and search for the word &ldquo;meeting&rdquo;. This should pull up a specially designed version of the Hero Block for the meeting minutes format. Click and hold that block when it appears as a search result and drag it into the editing window so that the blue preview line appears below the black post title text and above the first heading in your minutes and release. That should add the &ldquo;Meeting Minutes&rdquo; block to be the first thing that appears in the post.<\/p><h3 id=\"h-publish\" class=\"wp-block-heading\">Publish<\/h3><p class=\"wp-block-paragraph\">Once all three steps are completed, you can click &ldquo;Publish&rdquo; in the upper right-hand corner of the editing window. You will be prompted to click a second &ldquo;Publish&rdquo; button, so click that one, too.<\/p><h2 id=\"h-checking-your-minutes\" class=\"wp-block-heading\">Checking Your Minutes<\/h2><p class=\"wp-block-paragraph\">Once you have published your meeting minutes post, visit your committee&rsquo;s page and scroll to the bottom to find the &ldquo;Minutes &amp; Action Items&rdquo; heading. Below that heading will be a feed of all the meeting minutes that have been published for your committee. The minutes you just posted should appear at the top of that list; if they do not appear there, give it some time before refreshing the page to check again. To add or edit a Gravity Form on your site, you can <a href=\"webmaster@umw.edu\">contact the Web Team<\/a> (webmaster@umw.edu) for assistance.<\/p><h3 class=\"wp-block-heading\" id=\"h-help-us-help-you\">Help Us Help You<\/h3><h4 class=\"wp-block-heading\" id=\"h-existing-form-updates\">Existing Form Updates<\/h4><p class=\"wp-block-paragraph\">When reaching out about updates to an existing form, there are a few things we need from you:<\/p><ul class=\"wp-block-list\">\n<li>the URL for the page where the form exists;<\/li>\n\n\n\n<li>a description of what fields on the form need to be updated;<\/li>\n\n\n\n<li>the new content that needs to be added or deleted from those form fields.<\/li>\n<\/ul><p class=\"wp-block-paragraph\">If you are looking to add new fields to your form, please let us know what the field should be called, where to place it in the form, and whether or not that field is required.<\/p><p class=\"wp-block-paragraph\">If you need to add or remove a recipient of form submissions, you can send us the name and email address for those users and we can make those adjustments.<\/p><h4 class=\"wp-block-heading\" id=\"h-new-form\">New Form<\/h4><p class=\"wp-block-paragraph\">When reaching out about a new form for your site, please include the following in your request:<\/p><ul class=\"wp-block-list\">\n<li>the URL for the page where the form will go (please indicate if it is being added to a new page);<\/li>\n\n\n\n<li>the names, content, and types for each field in the form;<\/li>\n\n\n\n<li>indications for which fields are required;<\/li>\n\n\n\n<li>the names and email addresses for anyone who needs to receive the submissions from the form;<\/li>\n<\/ul><h3 class=\"wp-block-heading\" id=\"h-types-of-fields\">Types of Fields<\/h3><p class=\"wp-block-paragraph\">Gravity Forms has a number of common fields that can help you build the form you need. Adding a new page to your site gives you a clean slate to share your content.<\/p><h3 class=\"wp-block-heading\" id=\"h-how-to-add-a-new-page\">How to Add a New Page<\/h3><p class=\"wp-block-paragraph\">To add a new page to your site, open your Dashboard and find your way to the Page List by clicking on &ldquo;Pages&rdquo; in the left-hand sidebar. Once there, look near the top of the dashboard to find the &ldquo;Add Page&rdquo; button. It should be next to the &ldquo;Pages&rdquo; heading.<\/p><p class=\"wp-block-paragraph\">When the editing interface opens, you will need to enter the page title at the top of the editor and make sure to <a href=\"https:\/\/in.umw.edu\/university-communications\/digital-communications\/managing-your-site\/block-editor-overview\/umw-herointro-text-block\/\">add the Hero Block<\/a> as the first block on the page. <strong>The Hero Block must be used on all pages in the new design.<\/strong><\/p><figure class=\"wp-block-image size-full\"><img loading=\"lazy\" decoding=\"async\" width=\"928\" height=\"227\" src=\"https:\/\/in.umw.edu\/university-communications\/wp-content\/uploads\/sites\/9\/2025\/12\/NewPage.png\" alt=\"Example of an empty page in the WordPress Block Editor. They may be as simple as a saved layout for specific pieces of content on a page or as complex as a saved template for a whole page of content. The Digital Communications Team handles the creation of Block Patterns, so if you think your site would benefit from a Block Pattern, please contact <a href=\"mailto:webmaster@umw.edu\">webmaster@umw.edu<\/a>.<\/p><h3 class=\"wp-block-heading\" id=\"h-using-block-patterns\">Using Block Patterns<\/h3><p class=\"wp-block-paragraph\">When a Block Pattern has been created for your site, you can begin putting it on your pages. All other categories exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties.<\/p><p class=\"wp-block-paragraph\">You may opt-out of text messaging at any time by replying to any message with STOP. This will end the communications from that particular phone number.<\/p><p class=\"wp-block-paragraph\">Finally, we never use or share the optional information provided to us online in ways unrelated to the purpose described without a clear notice on the particular site and without also providing you an opportunity to opt-out or otherwise prohibit such unrelated uses.<\/p><p class=\"wp-block-paragraph\"><strong>Cookies<\/strong>: Our web site may place a &ldquo;cookie&rdquo; on your computer, unless your browser is set to reject cookies.
